HOW YOU WILL CONTRIBUTE AND LEARN?
This regional position manages the corporate support functions of North America Offices (Los Angeles, New York & Toronto) covering Finance, HR, Office Administration and IT in compliance with local legislative and corporate guidelines.
Oversee the finance and accounting functions including budgeting; fixed asset management; cash flow management; payroll; budget monitoring; in accordance with internal financial policies and procedures as well as applicable laws, rules and guidelines in the US and Canada markets.
Major tasks include:
Develop annual staff, administration and marketing budgets with very close monthly monitoring in terms of commitments versus budget and take appropriate corrective action if required.
Forecast expenditure for cash flow planning, and prepare accruals and other end of year documentation.
Conduct regular review with the budget owners in our North America Offices.
Oversee bank reconciliation and monthly return by deadlines stipulated by Head Office.
Ensure staff submissions of invoices and expense claims are in compliance with documented financial procedures/policies.
Responsible for the effective management of internal controls and the operation and effectiveness of all processing, including the payroll and NetSuite accounting systems.
Ensure that internal audit recommendations are followed through.
2. HR / Office Administration
Work with Head Office HR Department to review consistently and ensure that all the responsible offices’ HR policies, procedures, employee pension, benefit and welfare programs are consistent with applicable laws, that they are well-understood by plan participants, and that they are competitive in the markets and cost effective.
Supervise the implementation of HKTB HR policies and procedures in the responsible markets while ensuring the implementation is in compliance with organization guidelines, local employment and fiscal legislations.
Work closely with the Heads of our North America Offices for any recruitment activities.
Ensure that performance appraisal forms are completed for all employees in the Americas Offices, monitor and assess the final evaluations to help ensure completeness and consistency.
Provide instructions to lawyers for legal advice when needed, with the approval of top management.
Manage the office leases, maintenances, insurance administration and renewal as well as fixed asset inventory control and ensure office insurance in place.
Manage the office IT services with the support from Head Office and local vendors to maximize and ensure information/data security protection, manage local computer network and infrastructure implementation.
Advise and oversee all office equipment purchases and maintenance of office and lease equipment.
WHO ARE WE LOOKING FOR?
University graduate majoring in business administration and finance, with at least 10 years of proven financial/accounting and human resources experience, of which at least 3 of those years are at the managerial level.
Experience in handling legal matters and office administration is also preferred.
Strong communicator with good people skills and supervisory skills, able to operate effectively with all levels of the organisation.
Self-motivated, able to work under pressure independently and meet essential deadlines
Proficient in MS office applications.
The position is located in either our Los Angeles or Toronto office.
